About this policy

Effective date: October 22, 2026

RBA Projects Inc. and RBA Projects North Inc. (together, "RBA," "we," "us") build custom homes, cottages, and renovations across Toronto, the GTA, Muskoka, Georgian Bay, Collingwood, and the Lake Simcoe area. This policy explains what personal information we collect through rbaprojects.com and our related forms, tools, and communications, how we use it, who we share it with, and the choices you have.

We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL). By using our website or contacting us, you agree to the practices described here.

This policy covers our website, contact and download forms, our pricing calculator, phone calls, email, and the records we keep when you become a client, consultant, or trade partner. It does not cover third-party websites we link to.

Information you give us

  • Contact and project inquiries: your name, email, phone number, project location, project type, timeline, budget range, and anything you write in the message field.
  • Guide downloads and newsletter sign-ups: your name and email.
  • Pricing calculator: the project details you enter (such as type, size, and location) and, if you request your estimate, your name and contact details.
  • Phone calls, emails, and texts: what you share with us when you reach out, and records of when we spoke.
  • Clients: project information needed to deliver your build, including site address, drawings, budgets, invoices, meeting minutes, and warranty records.
  • Architects, designers, and trade partners: business contact details, and for trade applications, company information, licences, insurance, and references.
  • Job applicants: the information in your application or resume.

Information collected automatically

When you visit rbaprojects.com, our website and the tools on it collect technical information such as your IP address, browser and device type, approximate location (city level), pages viewed, time on page, the site that referred you, and whether you arrived from an ad. This is collected through cookies and similar technologies described below.

Information from others

We may receive information about you from an architect, designer, realtor, or past client who refers you to us, and from advertising platforms that report which ads led to a visit or inquiry. We may also receive business information from public sources.

How we use your information

  • Respond to your inquiry, schedule a conversation, and route you to the right division (GTA or North).
  • Prepare budgets, estimates, and pre-construction plans, and deliver your project.
  • Coordinate with your architect, designer, consultants, and our trades on your project.
  • Send updates you have asked for, such as the Client-Builder Journey guide or our newsletter.
  • Ask past clients to review their experience with us.
  • Measure how our website and advertising perform, and show relevant ads to people who have visited our site.
  • Protect our website and forms from spam and abuse.
  • Keep business, tax, warranty, and legal records, and meet our legal obligations.

We do not sell your personal information. We collect only what we need for these purposes, and we ask for your consent before using it for anything new.

You can decline analytics and advertising cookies at any time through the cookie settings on our website, or block cookies in your browser; see Your choices and rights.

Hashed contact information

When you submit a form, we may share your email address or phone number with Google or Meta in a hashed (scrambled, one-way) format. This lets them match the inquiry to an ad click without receiving the information in readable form. We may also upload hashed contact lists from our CRM to measure which ads led to qualified projects, or to show or exclude ads for existing contacts. We do this only with information you have provided to us.

Other advertising platforms

We may advertise on other platforms, such as LinkedIn, and use their measurement tools in the same way. If we do, they will be added to the table above.

What we do not do

We do not record your screen or keystrokes, and we do not use cookies to collect the contents of the forms you fill in.

Emails and calls

We send commercial electronic messages only with your consent, as required by CASL. When you contact us about a project, we may follow up about that inquiry. We send newsletters and marketing emails only if you have signed up or otherwise agreed to receive them.

  • Unsubscribe: every marketing email includes an unsubscribe link. We act on requests within 10 business days.
  • Review requests: after a project, we may send one or two messages asking about your experience. You can opt out of these at any time.
  • Phone calls: we keep records of calls with clients and prospective clients, such as date, time, and notes. We do not record calls without telling you first.

Who we share information with

We share personal information only as needed for the purposes in this policy:

  • Your project team: the architects, designers, consultants, engineers, and trades working on your project.
  • Service providers who run our systems for us and may only use your information to provide their services: website hosting (Webflow), CRM, forms, and messaging (GoHighLevel), estimating and project management (JobTread), automation (Make), the pricing calculator (Vercel), email and file storage (Google), and the analytics and advertising providers listed above.
  • Our marketing agency, Rococo Creative, which manages our website, CRM, and advertising on our behalf.
  • Professional advisors such as accountants, lawyers, and insurers.
  • Authorities, when required by law, or to protect our rights, property, or safety.
  • A buyer or successor, if RBA's business is sold or reorganized, under the same protections.

Storage outside Canada

Some of our service providers store or process information in the United States and other countries. When information is outside Canada, it is subject to the laws of that country, and may be accessed by its courts, law enforcement, and national security authorities. We choose providers that protect information to a standard comparable to this policy.

Project photography and your home

We photograph and film our work during construction and after completion, and use that material on our website, social media, and in print. We do not publish a client's name, a home's street address, or images that show identifying details such as house numbers without the client's permission. If you are a client and want images of your home removed or limited, contact us and we will update what we control.

Retention, security, and children

Retention: we keep personal information only as long as we need it for the purposes above. Client project records are kept for the length of warranty obligations and as required for tax and legal purposes. Inquiries that do not become projects are reviewed and removed or anonymized when no longer needed. Website analytics data is kept for up to 14 months.

Security: we use reasonable administrative, technical, and physical safeguards, including access controls, encrypted connections, and password-protected systems. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach creates a real risk of significant harm, we will notify you and the Privacy Commissioner of Canada as required by law.

Children: our website and services are not directed at children, and we do not knowingly collect personal information from anyone under 16.

Your choices and rights

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to how we use it, subject to legal and contractual limits. Contact our privacy officer (below). We respond within 30 days. Withdrawing consent may mean we cannot provide some services, such as continuing work on an active project.

Opt out of tracking and personalized ads

  • Cookie settings: use the cookie settings on our website to accept or decline analytics and advertising cookies. You can change your choice at any time.
  • Browser settings: block or delete cookies in your browser.
  • Google Analytics: install the Google Analytics Opt-out Browser Add-on.
  • Google ads: manage personalization at Google My Ad Center.
  • Meta ads: manage preferences in your Facebook or Instagram ad settings.
  • Interest-based advertising in Canada: visit the Digital Advertising Alliance of Canada at youradchoices.ca.

Opting out of personalized ads does not stop all ads; you may still see ads that are not based on your visits to our site.

Complaints

If you are not satisfied with how we handle a privacy concern, you can contact the Office of the Privacy Commissioner of Canada.

Changes and contact

We may update this policy as our services and tools change. The effective date at the top shows when it was last revised. If a change significantly affects how we use information you have already given us, we will ask for your consent where required.
